1 Bookings and payment
1.1 Contract
A contract exists between Loch Lomond Waterfront and the lead person named on the booking once we receive your deposit payment and you receive a booking confirmation letter by post or by email. Online booking summaries are automatically generated and do not constitute confirmation of a reservation by themselves. The hirer’s name will be on the booking form and they agree to take full responsibility for all members of their party and for ensuring that they all adhere to the Terms and Conditions. When the hirer is not present for the stay a Responsible Person must be nominated. This person must also be 25 years or older. The names, addresses and ages of all members of the party must be shared with the Management on request.
1.2 Ages
The person responsible for the booking must be aged 25 years or over. If the person making the booking is not going to be present during the stay, they must nominate another guest to take full responsibility of the party. This person must also be 25 years or older.
1.3 Payment
A 30% non-refundable deposit is payable in advance to secure a booking. The balance will be due 56 days before arrival. When a booking is requested less than 56 days prior to arrival the full cost of the stay will be required to secure the booking.
When booking online or by phone, your card details will be retained securely on our booking system and used to process your deposit payment. The balance payment will be processed automatically 56 days before arrival. If you wish to use a different card for your balance or security deposit you should contact the office prior to the due date that is shown on your booking summary.
If a balance payment is not made we reserve the right to cancel a booking and retain the deposit. Entry to properties will be allowed only when payment in full has been cleared beforehand.
1.3.1 Special offers
Occasionally, we offer discounted rates and special promotions which may include lower deposits. If you book using one of our special offers, you are bound by the terms in that offer. Usually, our special offers are non-refundable or amendable, but each offer will have its own terms.
1.4 Security deposits
We will require a security deposit of £200 per lodge/chalet, and £100 per shepherd hut. This will be held against your card prior to arrival. This will usually be processed on the day of arrival but may be processed any time up to 48 hours prior to arrival. The amount held will be released within one week but usually the day after departure.
Your security deposit is required in case there is any damage to your lodge during your stay. In addition, management reserve the right to withhold your security deposit if a cleaning charge is deemed to be required or you cause noise disturbance that interferes with the enjoyment of other lodge guests.
1.5 Group bookings
We do not accept bookings which are, or which we deem to be, hen or stag parties or are probable cause of noise and disturbance. Please see the section on ‘security deposits’ for further information about noise disturbance. Other groups should contact our reservation team to discuss their requirements.
1.6 Cancellation
1.6.1 24 hour cooling off period
If you require to cancel your booking at Loch Lomond Waterfront within 24 hours of making it, you will be entitled to a full refund.
1.6.2 XCover Booking Protection
We are pleased to be able to offer refund protection through our partnership with XCover. This refund protection allows you to apply for a full refund on your order should you, or anyone in your party, be unable to attend due to unforeseen circumstances. This includes injury, illness, travel trouble and other unexpected events. Full details can be found in their terms and conditions link on the booking page or they can be viewed here.
1.6.3 Change of dates
Changes to the date of your booking can be made up to eight weeks prior to your stay for no additional charge. Once the full balance payment has been made, no changes can be made to the date of your booking. However, management will consider exceptional circumstances, under which you would be required to pay a £50 administration fee.
1.6.4 Cancellations made by you
If you need to cancel your booking, you can do so up to eight weeks prior to arrival and you will only forfeit your 30% non-refundable deposit.
Refunds cannot be made in the event of adverse weather or illness preventing travel.
2 Access to lodges
2.1 Check-in
The lead guest must check-in online prior to arrival on behalf of the entire party. Once checked in, arrival information will be issued automatically by email. Access to the site will not be possible without completing the check-in process.
2.2 Arrival & departure
Lodges are available from 4.00 p.m. on day of arrival until 10.0a.m. on the day of departure. The Company reserves the right to charge for an additional day’s hire for unauthorised departures after this time.
2.3 Management access to lodges
The hirer shall allow the Management entry to the properties for all reasonable purposes.
3 Conduct of guests on site
3.1 Hot tubs and quiet enjoyment
The rights of other guests and local residents must be respected at all times. Therefore, no music is to be audible outside the lodge and hot tubs must be vacated by 10.00 pm. Repeated misuse of the hot tubs may result in them being emptied for hygiene reasons and result in a £50 refill charge.
Hirers are expected to familiarise themselves with the separate hot tub safety rules. A printed copy is displayed in each lodge and can also be found in your welcome pack.
3.2 Occupancy
The number of people occupying the lodge must not exceed the numbers stated on booking (maximum six persons). Lodges may not be used for impromptu or planned parties, be sub-let in whole or in part or used for any purpose other than having a private holiday. We have a private function room and bar that can be made available to groups by prior arrangement. Day guests may be invited by prior arrangement to a maximum of four.
3.3 Complaints
Should any aspect of your stay give cause for complaint the matter must be addressed with Management immediately so that prompt resolution or restitution can be made. If the office is unmanned then contact details for the duty manager are displayed in your lodge entrance. We will not consider recompense for matters raised retrospective to the period of stay.
3.4 Smoking & drug use
Smoking is not permitted in any of our lodges. This includes e-cigarettes. Any smoking of cigarettes, cigars or e-cigarettes must take place on the patios and waste must be disposed of in the ash trays/bins provided. Please ensure patio doors are closed when smoking.
We have a zero tolerance to drug use and drug use of any sort is not permitted. If we detect the use of drugs, or suspect guests are under the influence of drugs, all guests will be asked to leave immediately, and no refund will be provided. Police will also be alerted.
3.5 Cleaning and damages
Lodges must be left in a clean and tidy condition on departure, with an intact inventory or a surcharge may be levied. Accidentally broken items should be notified to the office on departure. Where more than one lodge is booked and items are taken from one lodge to another the inventory for each lodge should be intact on departure.
3.6 Caravans, camping and fires
Caravans and boats may be parked in our car park if we are given prior notification but they are not normally allowed in lodge parking spaces. Unfortunately, tents cannot be erected on any part of the site and with the exception of BBQ’s no fires may be lit.
3.7 Car parking
Parking for two cars per booking is free. With the exception of lodges 1 and 4 two nearby spaces are included in the cost of your stay. For lodges 1 and 4 the second space is in the nearby general car park.
Loch Lomond Leisure Limited does not accept liability for loss or damage of guests’ property or for accidents, mishaps or injury howsoever caused.
3.8 Hirer’s property
Loch Lomond Leisure Limited does not accept liability for loss or damage of guests’ property or for accidents, mishaps or injury howsoever caused.
4 Pets
Cats and dogs only are welcome at the Manager’s discretion in certain designated lodges with the following provisos:
- We are notified at the time of booking
- No more than two cats or dogs are brought
- Their own bedding is provided by the guest
- Pets are quiet, well behaved and never left unattended in the lodge or grounds
- Pets are prevented from accessing bedrooms.
- A maximum of 2 dogs are allowed in lodges & chalets
- 1 dog is permited in our Shepherd Hut luxury glamping pods
An additional cleaning charge of £45 per night applies to our lodges and chalets. Our shepherd huts are charged at £35. Here you can bring up to a maximum of 2 in our lodges/chalets. A maximum of 1 dog is allowed in our Shepherd Huts.
5 Disclaimer
If for operational reasons the lodge you booked cannot be made available to you we will try to make another lodge available and will refund any price difference if appropriate. If we upgrade you there will be no surcharge for a more expensive lodge. However, if we have to cancel your stay due to reasons covered by our Insurance policy then the deposit and balance will be refunded in full and you will have no claim against the Company. This commitment will not apply for cancellations caused by Force Majeure. The Company reserves the right to alter or amend the lodge, its facilities and other amenities offered without prior notice.
6 Exclusions
The Proprietors reserve the right to refuse admission or require the immediate departure of persons or pets that in the opinion of the Proprietor is/are not suitable to take charge or are causing a disturbance or nuisance. In the event of termination of a let a refund of any un-expired portion of rent will be made.
